Free Printable Family Calendar: Weekly Planner for the Whole Family

Keeping a family organised can feel like running a small logistics office. Who has practice? Who is doing the school run? What are we eating—and why is there another mystery bag in the hallway?

Download this free printable family calendar and give everyone one clear view of the week. It has no year and no fixed dates, so you can reuse the same design week after week.

The calendar is designed for A4 paper in landscape orientation. It includes:

  • all seven days from Monday to Sunday
  • four columns where you add family members’ names
  • a wide shared section for dinner, pickups and family plans
  • blank dates, so the planner never expires

How to print it correctly

  1. Open the PDF file.
  2. Choose A4 and landscape orientation.
  3. Select “Fit to page” if your printer cuts off the edges.
  4. Print in colour if you like, although the design also works in black and white.

To save paper, place the sheet in a clear plastic sleeve or laminate it. Use a whiteboard marker, wipe it clean on Sunday evening and start again. It is almost like getting your life organised—just in A4.

A family planner only works when everyone can see it

Put the calendar somewhere the family already passes every day: on the refrigerator, beside the dining table or in the hallway. A beautiful plan at the bottom of a drawer is still just paper.

Choose one regular time each week to fill it in together. Ten minutes on Sunday can prevent a surprising number of “you never told me” conversations.

What should you add to the weekly family plan?

  • work hours and work-from-home days
  • school, childcare and activities
  • who is dropping off and picking up
  • doctor, dentist and other appointments
  • birthdays and social plans
  • dinner ideas and leftover nights
  • practical jobs that otherwise land with the same person

Use colours without turning it into an art project

Give each person one colour, or use colours by type: blue for work, green for school, red for appointments and black for shared plans. Keep the system simple. If the colour code needs its own instruction manual, the calendar has already lost.

Combine the paper planner with a digital calendar

Paper is excellent for the shared overview. Your phone is better at reminders. Use them together:

  1. Put fixed and time-critical appointments in your digital calendar.
  2. Copy the week’s most important events to the family sheet.
  3. Take a photo of the completed page, so the plan travels with you.

If your family wants the complete calendar on the go, a shared iCloud family calendar can give everyone access from iPhone, iPad and Mac while parents keep control of sharing and events. If you want help setting it up correctly, you can book personal Apple help with MacGeni.

Frequently asked questions

Is the family calendar really free?

Yes. You may download and print it for personal use.

Why is there no year on the calendar?

Because the template should work next week, next month and next year. Simply write the week number or dates at the top.

Can people other than families use it?

Yes. The columns also work for housemates, small teams, co-parenting schedules or different types of tasks.

Can I edit the PDF on a computer?

It is primarily designed for printing and handwriting. You can also use a PDF app with text or annotation tools if you prefer to fill it in digitally.

How to print the planner correctly

  1. Open the PDF you want.
  2. Choose A4 paper and landscape orientation.
  3. Select actual size or 100% scale for the intended margins.
  4. Print one test page before making several copies.

For a reusable planner, place the sheet in a transparent sleeve or laminate it and use a suitable dry-erase pen. Test the pen in a corner first and keep the original PDF for future prints.

Simple ways to use it

  • Write only fixed appointments first.
  • Choose three weekly priorities instead of filling every line.
  • Add meal ideas before writing the shopping list.
  • Use one colour per person in a shared household.
  • Keep one empty line each day for the unexpected.
  • Review the coming week at the same time every Sunday or Monday.

Weekly planner or digital calendar?

You do not have to choose. A shared digital calendar is best for reminders and changes on the move; a printed weekly planner is better for a visible household overview, brainstorming and focused desk work.

If your family wants a shared iPhone and iCloud calendar that parents can manage, MacGeni can help set it up safely across your Apple devices.
